This applies to all in-person and virtual presenters. The AV team needs time to download, test, and prepare all files before the congress.

Getting Started — All Speakers

This section contains information that applies to everyone with a role in the ISOO Rio 2026 program. Use the links below to jump to a specific topic, or scroll through to review everything.

If You Cannot Travel to Rio

If your flights have been canceled or your institution has restricted travel due to the conflict in the Middle East, we have arranged a virtual option so you can still take part in the scientific program.

TO JOIN VIRTUALLY YOU MUST COMPLETE THE FORM

You must complete the Change of Attendance form. We will use the information in the form to register you for virtual access.

Without a completed form, we will not be able to provide you access to the virtual feed. This applies even if you have already contacted the ISOO Admin or any member of the planning committee. Previous emails or messages do not replace the form.

A link to join the Zoom meeting will be sent to all approved virtual participants on March 17.

The virtual feed will cover the main podium and case presentation sessions from March 18–21. Pre-congress sessions on March 17 will not be available virtually. You will be able to watch presentations and listen to Q&A discussions. The virtual experience will not include interactive features such as submitting questions.

Virtual Presenters

If you are a presenter and cannot travel, the Change of Attendance form will ask you to choose one of the following:

Option 1: I would like my presentation(s) included virtually (pre-recorded).

Option 2: I wish to withdraw my presentation(s).

Live virtual presentations are not supported. All virtual presentations must be pre-recorded as an MP4 file. Open your slides, record your talk as a video (include your face in the corner if possible), save as MP4, and upload to your presentation(s) on the portal by March 13.


File Format Rules (All Presenters)

  • Accepted: PowerPoint (.ppt or .pptx) or PDF (.pdf)
  • Video e-Poster presenters may also upload a stand-alone MP4 video file
  • Virtual presenters: Upload your pre-recorded file as MP4
  • Not accepted: Keynote (.key)
  • Video in slides: Embed the video directly in your PowerPoint and set it to "auto-play"
  • You may not present from your own laptop

You can also download the template from a button on your ISOO Dashboard when you log in. If your network or email security is blocking the link above, the dashboard button is your best option. If neither works, please email admin@isoo.org to request a copy (allow up to 24 business hours for a response).


Your ISOO Dashboard

Your dashboard is your central hub for everything related to ISOO Rio 2026. Log in using the personalized link in your reminder email.

From your dashboard you can:

  • Speaker & Moderator Portal: View your full presentation and moderator schedule (date, time, room). Upload your presentation files here.
  • View All My Authored Presentations Abstracts: See all abstracts where you are listed as a primary author or co-author. You can also upload your presentation file here.
  • View ISOO Rio Program: Browse the full congress program and create your personal schedule.
  • Download Rio Presentation Template: Download the ISOO-branded PowerPoint template directly.
  • ISOO Rio Change of Attendance: If you cannot travel, submit the Change of Attendance form here.
  • Download the ISOO Mobile App: Get the congress app for on-the-go access to the program and schedule.

If you were awarded a travel grant, your confirmation is also accessible from your dashboard.

Presenters: Please also confirm your presentation in the speaker's ready room at the congress.


Check Your Details

We have been reviewing and cleaning up speaker profiles, organization names, and abstract titles to ensure consistency across the program. Some names, affiliations, or titles may have been adjusted (for example, correcting capitalization or standardizing organization names).

Please log in and verify:

  • Your name and organization are correct
  • Your abstract title and content are accurate

Formatting reminders: titles and text should not be in ALL CAPS. Organization names should use standard capitalization (for example, "University of Miami" not "UNIVERSITY OF MIAMI").

If anything needs to be corrected, please email admin@isoo.org as soon as possible.


Virtual Registration for Colleagues

We are now offering virtual-only registration for $150 USD. If you have colleagues who were not registered for the congress but would like to join virtually, they can register below.

Moderated Poster Presenters

How Moderated Poster Sessions Work

This is a new format for ISOO. There are 4 stations in the foyer (lobby) outside the main conference hall, each with a large video monitor and laptop. You are assigned to one station. You will present your poster on the screen to approximately 8–10 other presenters and 2 moderators at your station.

Professional headphones with channel selection will be provided, similar to an audio guide at a museum. Presenters and moderators speak into a microphone.

Your Timing

Presentation: 4 minutes

Moderated discussion: 3 minutes

Timing is strict. Slides will be turned off when your time ends. Keep background information brief and focus on your key findings.

Your specific session date, time, station, and presentation slot are listed in your reminder email and on the online program.

Slide Limit

Moderated Posters are limited to 4 slides total:

  • Slide 1: Title and disclosures
  • Slides 2–4: Content

Alternatively, you may display a single full-screen scientific poster and talk through it.

Main Podium Paper Presenters

How Podium Sessions Work

Podium paper presentations take place in the main conference hall. Speakers alternate at one of two lecterns on the main stage. A slide viewing monitor, timer, and microphones are provided. New this year: a side monitor will display all reported conflicts of interest.

Your Timing

Presentation: 4 or 5 minutes (check your email for your assigned duration)

Discussion: Presentations are grouped in sets of 2–3. After each group finishes, there is a shared discussion period (approximately 2 minutes per presentation).

Timing is strict. Slides will be turned off when your time ends. Keep background information brief and focus on your key findings.

Your specific session date, time, room, and presentation slot are listed in your reminder email and on the online program.

ISOO POLICY: Only the submitting primary author may present the abstract. This policy is not negotiable and no exceptions will be made.

Video e-Poster Presenters

How Video e-Poster Sessions Work

Your pre-recorded video will play on a large video screen at a station in the foyer (lobby) outside the main conference hall. There will be approximately 10 other presenters and 2 moderators in your session.

Professional headphones with channel selection will be provided so attendees can listen to any station (similar to an audio guide at a museum).

Videos are played in groups of 4–5. After each group finishes, there will be a moderated group discussion covering all of the presentations in that group (approximately 1 minute per presenter).

Your Timing

Your video must be 4 minutes or less.

Keep background information brief and focus on your key findings.

Your specific session date, time, and station are listed in your reminder email and on the online program.

File Format — Video e-Posters

You have two options for your video e-poster:

Option A: A narrated video embedded in a PowerPoint file

Option B: A stand-alone MP4 video file

Both options are uploaded through the same portal. See the file format rules in the Getting Started tab for full details.

Case Presenters

How Case Sessions Work

Case presentations take place in the main conference hall. Speakers alternate at one of two lecterns on the main stage. These are short, fast-paced cases on a tight schedule. A slide viewing monitor, timer, and microphones are provided. New this year: a side monitor will display all reported conflicts of interest.

Your Timing

Total time block: 5 minutes

  • 3 minutes — your presentation
  • 2 minutes — moderator discussion

Timing is strict. Slides will be turned off when your time ends. Keep background information brief and focus on the key points of your case.

Your specific session date, time, and room are listed in your reminder email and on the online program.

ISOO POLICY: Only the submitting primary author may present the abstract. This policy is not negotiable and no exceptions will be made.

Invited Speakers

Your Session

As an invited speaker, your session details (name, date, time, duration, and room) are listed in your reminder email. You can also view them in the Speaker & Moderator Portal on your dashboard and in the online program.

Accept Your Invitation

ACTION REQUIRED

If you have not yet formally accepted your invitation, please do so now through the Speaker & Moderator Portal on your dashboard.

Update Your Presentation Details

Please log in to your dashboard and complete the following before Friday, March 13, 2026:

  • Edit your presentation title and description (these appear in the program)
  • Upload your presentation file

Once logged in, look for the abstracts marked with RED "INVITED" text in the Abstract/Presentation Management section. Click there to upload files and edit your presentation details.

Please also confirm your presentation in the speaker's ready room at the congress.

Timing

Timing is strict. Slides will be turned off when your time ends. Your assigned presentation duration is listed in your reminder email. Please keep background information brief and focus on your key content.

Moderator Guide

Thank you for agreeing to moderate at ISOO Rio 2026. Your role is critical in providing a balanced, unbiased, and informative session. With over 400 submissions, we have a very tight presentation schedule.

Podium Paper Moderators

You and your co-moderator will sit on the main stage with a slide viewing monitor, timer, and microphones. Speakers alternate at one of two lecterns. New this year: a side monitor will display all reported conflicts of interest.

Timing

Podium papers are 4 or 5 minutes in length with an average of 2 minutes of discussion time per presentation (sometimes grouped by topic).

Slides will be turned off when the allocated time ends. A gentle warning to conclude may be required.

Your Tasks

  • Introduce each speaker and announce the presentation title
  • Keep speakers to their allocated time to ensure time for discussion
  • Invite grouped discussion speakers to the chairs on stage. Audience members will be reminded to introduce themselves, list any conflicts, and keep questions brief.
  • Keep questions ready for each talk
  • If discussion is active, you will still need to end on time — please invite conversations to continue at breaks and meals
  • Vote for "Best of Session" with your co-moderator via the meeting app

Case Session Moderators

You and your co-moderator will sit on the main stage with a slide viewing monitor, timer, and microphones. Speakers alternate at one of two lecterns. New this year: a side monitor will display all reported conflicts of interest. These are short, fast-paced cases on a tight schedule.

Timing

Case presentations are 3 minutes in length with 2 minutes of discussion.

Slides will be turned off when the allocated time ends. A gentle warning to conclude may be required.

Your Tasks

  • Introduce each speaker and announce the presentation title
  • Keep speakers to their allocated time
  • Invite audience questions and moderate discussion. Keep questions ready for each case. Some cases may require commentary between the moderators rather than audience participation.
  • Audience members will be reminded to introduce themselves, list any conflicts, and keep questions brief
  • If discussion is active, you will still need to end on time — please invite conversations to continue at breaks and meals
  • Vote for "Best of Session" with your co-moderator via the meeting app

Moderated Poster Moderators

There are 4 video stations in the foyer (lobby) outside the main conference hall, each with a large video screen and laptop. There will be up to 11 presentations over the 90-minute session. Professional headphones with channel selection are provided, similar to an audio guide at a museum. Presenters and moderators speak into a microphone.

Timing

All poster presentations are 4 minutes with 3 minutes of moderated discussion.

Posters will be displayed either as a single-slide traditional poster or up to a 4-slide PowerPoint (1 title slide + 3 content slides).

Your Tasks

  • Introduce each speaker and announce the presentation title
  • Keep speakers to their allocated time
  • Invite audience questions and moderate discussion. Keep questions ready for each talk.
  • If discussion is active, you will still need to end on time — please invite conversations to continue at breaks and meals
  • Vote for "Best of Session" with your co-moderator via the meeting app

AV Notes

  • Station numbers will be marked
  • Please invite everyone to pick up headphones — attendees can switch between stations
  • An AV technician and meeting coordinator will be available nearby

Video e-Poster Moderators

There is a video station in the foyer (lobby) outside the main conference hall with a large video screen and laptop. There will be up to 10 presentations over the 90-minute session. Professional headphones with channel selection are provided, similar to an audio guide at a museum. Presenters and moderators speak into a microphone.

Timing

Each video poster presentation is a 4-minute pre-recorded video. Videos are played in groups of 4–5. After each group finishes, you will lead a moderated group discussion covering all presentations in that group (approximately 1 minute per presenter).

Your Tasks

  • Introduce each speaker and announce the presentation title. Video files can be previewed in the speaker ready room.
  • Play the preloaded recorded video on the monitor
  • Invite audience questions and moderate discussion. Keep questions ready for each talk.
  • If discussion is active, you will still need to end on time — please invite conversations to continue at breaks and meals
  • Vote for "Best of Session" with your co-moderator via the meeting app
